Our client, a boutique purpose-led creative agency, is seeking a freelance Production / Studio Coordinator (ideally with previous advertising / content production experience) to support their team on an ongoing basis.

**Please note: This is a part time role estimated about 20 hours per week. However, there may be weeks you will be asked to work 30 or 40 hours for onsite shoots. The ideal candidate will be able to join the team for in-person shoots in NYC as needed. You must work off of your own equipment!**

The Production / Studio Coordinator will:

- Act as the Production Manager during shoots from pre-production through post-production
- Handle all of the details leading up to a shoot, including managing casting, coordinating schedules, timelines and budgets, location scouting, team / resource / model booking, equipment booking, etc.
- Keep track of multiple projects, timelines and workflow planning
- Project manage the work between the creative team, the account team, editors, retouchers, etc. during the project lifecycle to help move things along
- Keep all aspects of a project under control: scheduling meetings, organizing calendars, writing emails, creating timelines, managing deliverables, taking notes on client calls, summarizing calls for creative team, etc.
- Assist with in-person large scale productions every 2-3 months where you must be on set
- Work directly with the clients across industries to discuss details of shoots, determine timeline, scheduling, etc.
- Work with 3rd party agencies and vendors as needed
- Handle file management, i.e. archiving files, finding old files for clients, converting file formats, pulling files for new business pitches and organizing them on Google Drive or Dropbox, etc.
- Follow up on invoices and POs, track expenses, etc.
- Be responsible for random responsibilities related to the production that may arise
- Assist and work alongside the Head of Production, being their right-hand person across all projects and helping to manage productions



The Production / Studio Coordinator must:

- Have at least 1 year of previous production / studio management experience
- Previous experience at an ad agency, production studio or photo studio is preferred
- Previous experience in managing advertising / content productions and in-person shoots is highly preferred
- Experience with digital files / formatting files is preferred but not required
- Be proficient in the Google Suite and Dropbox
- Basic Photoshop and InDesign skills are a plus but not required
- Be comfortable working in a startup-like environment where you will be asked to wear many hats
- Be comfortable working in a client-facing role
- Have excellent written and verbal communication skills
- Be willing and eager to learn about the industry and the production process
- Be able to shift gears quickly from one project to another when needed
- Be able to pick up a project and run with it
- Be able to roll up your sleeves and get the work done with no hand-holding
