Our client, an insurance company, needs a detail oriented Strategic Events Coordinator to join their team for a long-term, onsite, ongoing freelance to possible full-time need at their office in Hunterdon County, NJ. The Events Coordinator will oversee all aspects of event planning and management.

Their office isn't easily commutable by public transportation.

There is some flexibility with working offsite but the Strategic Events Coordinator must work onsite 3 days per week (they're flexible which days) and the rest of the hours can be offsite (starting at 30/week but likely ramping up to a full 40 hours/week).

Nationwide travel (not more than once a month) is required.
Event experience is required, ideally as part of a larger team.

Strategic Events Coordinator Requirements:
• Bachelor’s degree
• Event planning experience
• Strong organization and multitasking skills
• Ability to do event logistics but also think broadly and strategically and advise on events best practices for efficiency
• Confident with technology (they use Constant Contact for events and needs someone who can pick it up easily)

Strategic Events Coordinator Responsibilities:
• Maintaining a working relationship with vendors and venues
• Understanding the complex needs of different events, and diverse clients
• Planning event aspects, such as guest list, invitations, venue, seating, dining, and guest list
• Coordinating event entertainment including guest speakers
• Attentive to the value of staying under budget while planning event specifications
• Issuing invoices and collecting payments in a timely manner, and creating comprehensive and readable financial reports
• Managing and overseeing events on the day of, including problem-solving, welcoming guests, directing event set-up, communicating with staff, and organizing vendors, and managing take-down
• Communicating with marketing team to create effective advertisements for each event
• Anticipating and planning for possible different scenarios
• Creating sales opportunities for current and future events
• Strong communication skills, and the ability to present event ideas and plans internally and to vendors
• Evaluate potential sponsorship opportunities for organization with ability to provide well thought recommendations
• Organize all sponsorship benefits and deliverables throughout the year and make sure they are taking advantage of opportunities
• Make sure sponsorships meet the division objectives
