Our client, a pharma company, is looking for a Marketing Specialist to assist their in-house team for at least 8 months with the potential to convert to full-time. This role is hybrid, onsite in Northern New Jersey (Morris County) 2 or 3 days a week. The full-time team is onsite 3 days a but starting out the Marketing Specialist could be onsite just 2 days a week and can choose the days.

Day to day the Marketing Specialist will oversee LMR (Legal, Medical, Regulatory) reviews and the budget for brand advertising and promotions spend (agency/media spend).

Marketing Specialist Duties
Ownership of budget tracking, reconciliation, and phasing including initiating purchase orders and processing/recording vendor invoices
Reconcile spend vs. budget monthly per project in collaboration with external vendors; Identify and address discrepancies (they use Excel and Coupa for budgets)
Prepare and present monthly budget presentations to brand team including updating spend forecasts
In charge of the administration and execution of the LMR process (including managing agency submissions, ensuring incorporation of feedback, and preparing final file for distribution)
Ownership of live LMR meetings including moderation, facilitation of conflict resolution, obtaining comments/ approvals from all participants and documenting changes live in electronic LMR system (Veeva PromoMats)
Key point of contact for both external vendors and internal stakeholders for the completion of commercial team contracts (from contract preparation to obtaining appropriate approvals)
Ownership of all revisions and finalization of contracts
Manage fulfillment house inventory including setting up new items into inventory, approving field orders, managing drop-shipments, and preparing inventory trend and low item reports to make recommendations on material re-orders
Assist with various marketing projects and vendor management (conference and convention schedules, registration, logistics, etc.)
Manage the relationship between the brand teams and external vendors including working collaboratively with procurement in the RFP process, on-boarding new suppliers and soliciting feedback on vendor performance from key internal stakeholders

Marketing Specialist Qualifications
Available Monday Friday during standard business hours, 9-5, for a 37.5 hour work week, 2-3 days a week onsite
Bachelors degree (Degree in Marketing, Communications or related area is preferred)
2+ years of previous experience in a marketing/sales environment and/or medical communications or pharmaceutical industry experience
Experience with pharma/healthcare is ideal but not required but ideally at least some experience with a high regulated industry
Advanced knowledge of Excel isnt needed but experience with basic formulas is a must, including familiarity with using (not creating) pivot tables
Excellent project management skills with the ability to handle multiple projects simultaneously to meet tight deadlines required
Excellent presentation and interpersonal skills with strong ability to communicate effectively
Experience in managing production vendors/advertising agencies and knowledge of digital/print production preferred
Must be able to think and act independently while contributing to the overall team by actively providing solutions and recommendations to make current processes run more efficiently
